Talos is operated by HD Marketing, LLC (“we”, “us”). Talos provides booking and operations software to rental companies (“Operators”). This policy explains what personal information the Talos service handles and how.
Two roles
When an Operator uses Talos to take bookings, the Operator decides what customer information to collect and how to use it. For that information we act as a service provider processing it on the Operator’s behalf, and the Operator’s own privacy policy also applies. For Operator staff accounts and visitors to this website, we are responsible for the information directly.
Information we handle
- Account information: name, email address, hashed password, role and the company an account belongs to.
- Booking information: customer names, contact details, delivery and service addresses, rental dates, materials, weight tickets, photos and signatures recorded for a job.
- Payment information: payments are processed by Stripe. We receive payment status and limited details such as card brand and last four digits; we do not store full card numbers.
- Technical information: IP address, browser type, request logs and security events, used to operate and protect the service.
How we use it
- To provide, secure and support the Talos service.
- To send booking confirmations, reminders and account messages on an Operator’s behalf.
- To prevent fraud, abuse and unauthorized access.
- To comply with legal obligations.
We do not sell personal information.
Service providers
We use trusted providers to run Talos, including cloud hosting and databases (Amazon Web Services), network and security (Cloudflare), payments (Stripe) and email delivery (Resend). They process information only as needed to provide their services to us.
Separation between companies
Each Operator’s data is kept separate from every other Operator’s, enforced in the application and in the database itself.
Retention
We keep information for as long as an Operator’s account is active and as needed for legal, tax and dispute purposes. Operational records such as inventory history and weight tickets are retained so that bookings and charges remain verifiable.
Your choices
If you booked with an Operator, contact that Operator first about accessing, correcting or deleting your information. You may also contact us and we will work with the Operator on your request.
